Executive Secretary (Ambtelijk Secretaris) | 32 hours a week / Best

About the role:

In this role, you will report to the Governor Business Support and have a functional reporting line to the chairman of the Works Council Business Support.

As an executive secretary of our Works Council, you are the driving force behind the effective organization of meetings and the management of important documents. You are the linchpin of the Works Council! With your professionalism, organizational skills, and communication power being crucial for the smooth functioning of the works council.

Furthermore, as executive secretary you have an independent position and can be a regular point of contact for the works council (members), the constituencies and the Governor.

Your organizational and secretarial tasks amongst others also includes:

  • Handling incoming and outgoing correspondence, including drafting and editing letters, reports, and other documents.
  • Ensuring accurate documentation and reporting of Works Council and committee meetings, including preparing draft agendas, taking minutes, and maintaining action/decision lists.
  • Managing the Works Council’s archive and assisting with the production and distribution of annual reports and other publications.
  • Organizing meetings, consultations, and committee meetings, including managing facilities, invitations, and information dissemination.
  • Supporting the Works Council in preparing for elections and acting as a liaison between the Works Council and its members.
  • Identifying and reporting deviations from compliance with relevant laws, procedures, and agreements regarding employee participation, and keeping up with current developments in this area.

You are the right fit if you:

  • Excel in organizational and communication skills
  • have a proactive attitude
  • have proven technological skills such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and digital communication,
  • Have a good command of both Dutch and English language. English is the primary language used within Philips.
  • Knowledge of the works council and relevant legislation is a plus.
